CFI & Youth Manager Assistant

Reports to:   CFI & Youth Manager

Position Summary:

The CFI & Youth Manager Assistant is responsible for financial and administrative support, records management, and Information Technology for the Youth department.

The Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven, and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations and will possess strong written and verbal communication, administrative, and organizational skills.

This position will play a crucial role in providing high level administrative support to the CFI & Youth Manager. The Assistant may be scheduled for some evenings and weekend to accommodate program needs. The Assistant will be expected to interact with clients and staff in a respectful and non-judgmental manner.

The ability maintain a realistic balance among multiple priorities is imperative. The Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Principle Duties & Responsibilities

  • Acting as second-in-command to the CFI & Youth Manager, and taking care of all duties in their absence.
  • Scheduling meetings and team building sessions as required.
  • Promptly answering the questions of staff and other stakeholders.
  • Providing excellent customer service and maintaining relationships with vendors.
  • Assisting with recruitment and onboarding processes.
  • Updating logs and order forms.
  • Analyzing all operations and forwarding suggestions for improvement to the Manager.
  • Prepare and edit correspondence, presentations, reports, and memos.
  • Complete expense reports and manage correspondence with vendors.
  • Support the CFI & Youth Manager in strategic communications, organizational strategy, and all other special projects as assigned.
  • Organize meetings and events.

Essential Functions

  1. Administrative Support

This position is responsible for providing general administrative support as needed, including but not limited to:

  • Perform basic bookkeeping tasks including payroll, bill paying, check cutting, mailing checks, making deposits, invoicing, running financial reports, assisting with annual audit, etc.
  • Purchase office supplies and keep storage rooms stocked and organized.
  • Maintain organizational files and documents.
  • Coordinate insurance coverage for staff and the organization.
  • Manage donor, member and resources databases.
  • Manage repair and maintenance of office equipment, including computers, phones and printers.
  • Perform general administrative support.
  1. Communications
  • Assist with creating print and electronic newsletters.
  • Coordinate website updates.
  • Assist with donor communications, including appeal and thank-you letters.
  • Maintain organizational archives.
  • Monitors and posts on all organization’s social media platforms.

Skills & Qualifications:

  • 2 years related work experience.
  • Familiarity with non-profit sector.
  • Strong interpersonal skills with the ability to take initiative, multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize work.
  • Excellent communication skills, both verbal and written.
  • Demonstrated writing and analytical skills.
  • Excellent organizational skills, commitment to accuracy and attention to detail.
  • Ability to access a wide range of sources and networks for information.
  • Good judgment and ability to function independently.
  • Good working knowledge of all Microsoft Office applications, Google Suite, and social media web platforms.
  • Ability to handle sensitive and confidential situations with diplomacy.
  • Highly experienced in electronic communications.
  • Ability to operate and troubleshoot standard office equipment.

  • Inuit heritage is preferred.
  • Ability to speak Inuktut and English is an asset.

Language Nest Instructor

Reports to:   CFI & Youth Manager

Position Summary 

Under the supervision of the CFI & Youth Manager, the Language Nest Instructor will offer language immersion and cultural activities at an Early Year’s level through play, song, dance, and storytelling. 

The Language Nest Instructor is responsible to collaborate with the Youth Manager and Tunngasugit Inc. staff to meet early years learning expectations in accordance with age appropriate and developmental abilities of early years children. 

Further, the teacher must promote a positive and safe learning environment. The Language Nest Instructor will work cooperatively with the Language Nest staff to maximize available resources and ensure optimal children’s success. 

Duties and Responsibilities

  • Develop lesson plans for early years immersion in the Inuktitut Language to include culturally relevant activities, songs, and practices.
  • To always speak Inuktitut when in the company of the children in the program.
  • Prepared for outdoor activities rain or shine.
  • Observe and evaluate students’ performance, learning, behaviour, social, and physical development.
  • Prepare materials and classrooms for class activities and daily learning.
  • Adapt teaching methods and instructional materials to meet children’s’ varying needs, interests, and abilities.
  • Instruct students individually or in groups, using a variety of teaching strategies and methods.
  • Establish relationships and maintain communication with parents and/or guardians regarding needs and progress of children.
  • Collaborate with other staff members to plan and schedule lessons and intervention programs to support student learning and development.
  • Plan and supervise class projects, field trips, visits by guest speakers or other experiential activities, and guide students in learning from those activities.
  • Attend staff meetings and serve on committees as required.
  • Provides, promotes, and delivers an effective Language Nest immersion program.
  • Strives to implement new ideas, techniques, and methods to enhance the quality of instruction and meet individual child needs.
  • Works as a team player.
  • Establishes monthly calendar of events.
  • Prepare snacks and meals for children as needed.

Qualifications:

  • Semi-fluent or fluent in the Inuktitut Language
  • First Aid and CPR
  • Food Handler’s Certificate
  • Must complete a criminal record & child abuse registry check including the vulnerable sector
  • Three years working with Inuit communities and with Inuit people.

Job Skills Required

  • Understanding of the Winnipeg Inuit community.
  • Knowledge of Inuit culture, language, and willingness to learn more.
  • Experience and/or a keen desire to work with children and their families.
  • Familiar working with Inuit children.

Youth Program Coordinator Assistant 

Reports to:   Youth Program Coordinator

Position Summary 

The Youth Program Coordinator Assistant performs administrative support tasks and assists in organizing programs and activities under the Youth Program Coordinator’s supervision.

Responsibilities include monitoring expenditures and schedules, preparing and processing documents, handling calls and correspondence, creating requests and proposals, communicating with vendors and suppliers, and updating records. The Assistant must also assist staff in various tasks and resolve issues promptly and efficiently.

Duties and Responsibilities

  • Provide day-to-day administrative and operational support for Tunngasugit’s Youth Programs.
  • Manage purchasing and tracking of expenses within the parameters of annual budget.
  • Create flyers, posters, brochures for various programs.
  • Publish programming and events on Tunngasugit’s website and social media accounts.
  • Create registration forms and register youth for programs.
  • Maintain membership database.
  • Track attendance and participation data for events, measuring program impact.
  • Provide onsite assistance for community events including annual events held on evenings and weekends.
  • Assist in the preparation and delivery of materials as well as the physical set-up of events.
  • Assist in scheduling volunteer, elders and instructors for events.
  • Manage and organize an inventory of early childhood books and other educational materials.
  • With experience, assistant may be asked to lead programs or events hosted by Tunngasugit.
  • Maintain confidential information in alignment with the Tunngasugit’s confidentiality standards.
  • Assist with preparing materials for class activities and daily learning in the various programs. 
  • Attend staff meetings and serve on committees as required.

Skills & Qualifications:

  • Must have proficient computer skills, particularly Microsoft Word, Excel, and Outlook as well as the Google Suite of products.

Driver Assistant – Youth Programs

Reports to:  CFI & Youth Manager

Position Summary

Reporting to the CFI & Youth Manager, the Driver Assistant will be responsible for helping Inuit youth and their families with moving and acquiring household items and accompanying the driver when they are driving community members to appointments or to the centre to access programs & services.

The Driver Assistant will also assist with shopping for food and materials for programming as well as food hampers, and delivering food hampers to community members.

Duties & Responsibilities

  • Picking up supplies.
  • Loading and unloading goods.
  • Delivering items to community members.
  • Pickup and drop-off community members to and from our programs and services.
  • Accompanying the driver when bringing Inuit to appointments, drop-ins, workshops, language nest, etc.
  • Other duties as required.

Requirements

  • Must reside in Winnipeg.
  • Clear child abuse, criminal record and driver’s abstract.
  • Must be able to lift 50 pounds.
  • Must be able to work effectively independently and as a member of teams.
  • Must be able to work flexible hours, some evenings and weekends.

CFI Case Coordinator 

Reports to:  CFI & Youth Manager

 

Position Summary

The Child First Initiative Case Coordinator is responsible to coordinate all requests (equipment, furniture, funding for programming, respite and other urgent needs) for the Winnipeg region. The coordinator will advocate, assess, navigate and liaise for services.

 

The CFI Case Manager will ensure an Inuit centered holistic circle of care is established with service providers.

 

Duties & Responsibilities

·       Assessing the needs of children and linking them to the appropriate resources and providers.

·       Develop and oversee client care plans and ensure aftercare plans are followed-up.

·       Assist community members with filling out CFI applications for equipment, programs or any other things the child may need.

·       Advocate and be a liaison for those in need of specific services and resources.

·       Provides one to one support when requested.

·       Consult with other Mental Health Professionals, Nurse(s), Physician(s), Psychologist/Psychiatrist for integrated treatment plan(s) as well as culturally appropriate holistic plan(s) of care.

·       Collaborate and network with other community resources, social service agencies and health care providers involved with clients to provide information and obtain feedback on clients’ overall progress.

·       Review and approve engagement materials including PowerPoint presentations and written material specific to Child First Initiative and related topic(s) of interest.

·       Provide specialized case management and community outreach with CFI staff and partners ensuring all children identified with health needs receive services.

·       Prepare and provide reports to meet deadlines as requested.

·       Record information gathered for reporting & quality improvement purposes.

·       Establish and nurture partnerships, to ensure a comprehensive referral network for community resources and clients.

·       Arrange for transportation to the resource centre or other programs/services if required.

·       Advocate for adequate, timely and cost-effective services. 

·       Respond to any issues that occur during the delivery of services.

·       Monitor the services and supports being provided and stay up to date on any services being introduced or discontinued.

·       Evaluate the quality of services and identify areas that need improvements.

·       Administrative and clerical tasks such as filling out applications and filing documents.

·       Prepare monthly reports and event calendars.

·       Other related duties as required.

Requirements

  •           Proven work experience as a CFI Case Coordinator or similar role.
  • Experience in a variety of community-based service models.
  • Effective networking and agency relations skills.
  • Ability to balance work requirements, including consultation with other professionals and service providers as required.
  • Demonstrated ability to problem-solve complex situations and manage sensitive issues.
  • Demonstrated ability to function as a team member; working collaboratively across sectors; as an active participant in multi-disciplinary teams.
  • Proficiency in computerized systems including Windows environment, word processing, email, and databases.
  • Comprehensive knowledge and advanced level expertise in assessment of needs, crisis intervention, service coordination and community consultation.
  •       Strong work ethic and service skills.
  •           Excellent communication and interpersonal skills.
  •        Strong record-keeping and analytical skills.
  •            Excellent organizational skills and attention to detail.
  •       Must be an Inuit beneficiary.
  •       Fluency in spoken and written Inuktitut and English is an asset.
  •       Class 5 driver’s license.

  •       Must provide a current criminal record check and adult and child abuse registry checks.
